Help Center & User Guide

Welcome to UnDone — an intelligent, minimalist menu bar to-do tool for macOS built on the Eisenhower Matrix.

🌟 Core Highlights

1. Deep Apple Ecosystem Integration (EventKit)

  • Frictionless iCloud Sync: UnDone reads and writes directly to Apple's official Reminders database with zero third-party intermediaries.
  • Instant Multi-Device Roaming: Any edit made on your iPhone, iPad, Apple Watch, or Web (like checking off items or editing alerts) instantly syncs with UnDone's menu bar panel and desktop widgets.

2. Eisenhower 4-Quadrant Priority Matrix

Tasks are automatically organized into four quadrants according to their Priority and Due Date:

🟥 Q1 · Do First Important & Urgent

High-stakes, pressing commitments that require your immediate focus.

🟧 Q2 · Schedule Important & Not Urgent

Long-term investments and critical goals that need deliberate planning.

🟦 Q3 · Delegate Urgent & Not Important

Time-sensitive items with lower leverage. Handle quickly or delegate.

⬜ Q4 · Eliminate Neither Important nor Urgent

Distractions and low-value tasks. Prune, batch, or eliminate gracefully.

3. Natural Language Parsing & AI Intelligence

  • Natural Language Date Extraction: Simply type Meeting with Sarah tomorrow at 3pm. The system extracts the task title and assigns the precise deadline automatically.
  • CoreML Quadrant Prediction: Built-in on-device machine learning predicts and recommends the best quadrant for your task as you type.
  • Smart Suggestions: Identifies stale tasks accumulating in Q4 and offers actionable suggestions to upgrade or clean them up.

4. macOS Desktop Widgets

Keep key commitments visible right on your desktop canvas:

  • Quadrant Widget: Available in Small, Medium, and Large sizes to display task distribution across all four quadrants.
  • Today Widget: A focused checklist view showing only what must get done today.

🚀 Quick Start

Basic Workflow

  1. Add a Task: Click the menu bar icon or press your global hotkey. Type your task in the bottom input bar (natural language dates supported).
  2. Select a List: Click the dropdown on the left of the input field to choose which Apple Reminders list to store the item in.
  3. Complete a Task: Click the circle beside any task to mark it done. Completion state immediately syncs via iCloud.
  4. Collapse Lists: Click any list title in the panel to collapse or expand its group, keeping your workspace neat.

Advanced: How Does the System Decide Quadrants?

If you want to manually adjust or understand the logic, here is the built-in classification rule matrix:

Quadrant Classification Rules Action Strategy
🟥 Q1: Important & Urgent Priority is High, OR due date is today or earlier Do immediately
🟧 Q2: Important & Not Urgent Priority is Medium or Low, AND due date is tomorrow or later Schedule ahead
🟦 Q3: Urgent & Not Important No priority set, but due date is today or earlier Delegate / Fast-track
⬜ Q4: Neither No priority set, and no near-term due date Prune, archive, or tidy

💡 Helpful Tip: In daily practice, you never need to memorize these formulas—UnDone's on-device CoreML model automatically infers them as you type!

Where is my data stored? Is it private?
100% private. All your tasks, lists, and metadata reside solely on your Mac hardware and within your personal Apple iCloud storage. Undone has no third-party database or tracking servers.
